Coordinator (Inquiry/Campus Visit) Receptionist
Admissions Office
Primary Function:
Creates/maintains admission application files (electronic and physical). Responsible for data entry/upload of all prospective student inquiries. Co-manages work-study recruiting, managing and training. Responsible for work-study scheduling and monitoring. Distributes incoming calls and provides general office management assistance.
Duties and Responsibilities:
Prospective Student Lead and Applicants:
- Responsible for application processing, documentation and filing of supplemental admissions paperwork, application updates, deferments and cancels.
- Oversees all lead data entry, both manual and upload, and ensures accuracy and compliance with mailing standards.
- Maintains pre-application and application files with assigned counselor.
- Communicates file updates and admission progress to counselors.
- Provides clear documented procedures for application and lead processing.
Receptionist:
- Directs incoming calls and emails.
- Manages appointments and walk-ins.
- Registers participants for special events.
Work Study (co-management):
- Recruits, hires, trains, schedules and manages work-study along with the Assistant Director.
- Oversees work-study staffing for tours and appointments.
- Reviews and oversees work-study data entry to ensure accuracy.
Office Management:
- Provides constant evaluation of current procedures and policies.
- Makes applicable recommendations for the improvement of the Admissions
- Department to provide better service for prospective students.
- Maintains reception area, back conference room and work-study stations.
- Office supplies: orders and maintains general office materials. Makes recommendations for equipment changes or improvements.
- Develops and maintains admissions forms as needed.
Mailings:
- Responsible for executing assigned mailings timely and accurately.
- Oversees requests for admissions materials and counselor mailings.
Other Duties
- As assigned by the Vice President, Enrollment Management.
Minimum Qualifications:
Education: High School graduate or equivalent.
Experience: Two years of reception experience and experience with use of CRM software required. Must be proficient with Microsoft Office Suite and highly skilled in Excel spreadsheet use. Experience working in a college setting, helpful.
Skills: Excellent organization and communication skills required, in addition to careful attention to detail and a friendly, outgoing demeanor.
Other: This position has been identified as security sensitive, and as such will require a background check. At the discretion of the college, various background checks maybe done during the course of employment.
